IMPORTANT NOTICE FOR ORCHID EBOUND USERS

Microsoft has officially deprecated the version of SQL currently used by the Orchid eBound database. To maintain system performance and security, we will be upgrading the database on Friday, July 4, 2025, between 1:00 AM and 3:00 AM EST.

During this time, Orchid eBound will be temporarily unavailable. If your operations include overnight shifts, please plan accordingly to avoid disruption.

We appreciate your understanding and continued partnership.


Orchid eState

With the addition of ammunition, Orchid eState now features over 60,000 classified UPCs tailored to the firearms industry.

Orchid eBound

New Feature: Add a Firearm to an In-Process 4473

You asked, and we listened! You can now add firearms to an in-process 4473. A new “Attached Firearms” button is available in Section C, allowing transferors to include additional firearms as needed during the transaction.

Important Notes for POS Users:

If you’re using Orchid POS or another API-integrated platform, please remember to update the corresponding sales transaction in your POS to ensure data remains in sync.

Currently, Orchid POS does not yet support adding serial numbers to in-process sales, but this enhancement is on our roadmap for a future release.

In the meantime, users can:
  1. Start a separate transaction
  2. Select "Paper 4473" when prompted
  3. Complete the 4473
  4. Review Pending Gun Sales and convert them to invoices once finalized

New Feature for Company Admins: 4473 Attachment Deletion

Company Admins can now delete previously uploaded attachments from Form 4473 records.
Please exercise caution—removing attachments may have regulatory implications. Deleted files will not be removed from historical system backups.

Question 21 Enhancements

Per ATF regulations, Question 21a may be left blank when a consumer is picking up a repaired firearm on behalf of another individual. To help prevent accidental omissions, we’ve upgraded the warning message to make this clearer.
If your account uses ATF Rapid Review, any skipped responses to Question 21a will now appear in the report for further review.

Paper 4473 Notes

Users can now add transaction notes directly to paper 4473 records, providing greater flexibility and documentation support.

Bug Fix – Serial Number Correction Tool

We’ve resolved an issue where correcting a serial number could result in duplicate entries if the same serial number and manufacturer combination already existed. The system now blocks corrections that would create duplicate records.

UPCOMING CHANGE TO THE “ONLINE” MENU – IMPORTANT ANNOUNCEMENT

Last year, we introduced a streamlined menu structure for Orchid POS and Orchid eCommerce. While the update was well-received overall, we’ve heard your feedback—particularly regarding the complexity of the Orchid eCommerce “Online” menu.

To address this, we’ve consulted with several clients and will soon roll out a redesigned and simplified “Online” menu.

What to Expect:
  1. The new menu will follow the logical order of building a website from start to finish—especially helpful for new users.
  2. Related features will be grouped together for easier navigation. For example, tools for managing product attribute visibility will be moved from the homepage ‘Site Builder’ to the Product Visibility section where they belong.

A detailed announcement, including a preview of the updated menu, was sent to all customers yesterday. A follow-up email will be sent this Thursday with additional information.

Customer Online Order History – Enhanced Status Messaging

We’ve updated the language on the customer-facing order history page to offer clearer, more informative status updates (e.g., Order Received, Order Processed, etc.). These improvements provide greater transparency and help customers track their orders with confidence.


Bug Fixes – SOLR Search Display
During ongoing enhancements to our SOLR search functionality, a temporary issue occurred that prevented some products from appearing on the website. This issue has now been resolved. We apologize for any inconvenience and appreciate your continued patience as we work to improve search performance.

Recurring Memberships – Enhanced Functionality

We’ve introduced a series of improvements to Recurring Memberships to give you greater insight and control:

  1. A new detailed reporting page with filters for:
    1. Membership type and status
    2. Date ranges for collected fees
    3. Upcoming billing dates
  2. Within the customer contact profile, you can now manually adjust membership dates, offering added flexibility for membership management.


Special Orders – Serial Number Enhancements (Phase 2)

Phase two of our Special Order enhancement is now live. The Serial Numbers tab in Edit Product Details now features:

  1. Expanded filtering options
  2. Enhanced logging for better tracking

Phase three will introduce the ability to assign a serial number at the time of receiving—coming soon!


Consignment Inventory – Visibility Improvements

To reduce confusion around consignment inventory, we’ve made the following changes:

  1. Consignment barcodes now include a unique suffix (e.g., Consign1Consign2) to prevent UPC conflicts.
  2. Consigned items are marked as No Longer Available (NLA) once sold out, but remain visible while in stock.
  3. If the NLA checkbox is unchecked, items may appear missing.


Coming Soon:

  1. A new "Consignment" checkbox will be added below the NLA filter (enabled by default).
  2. A helpful message will appear:
  3. “Some inventory may not appear if Consignment or NLA is toggled off.”

In the meantime, please ensure the NLA checkbox is selected when searching your inventory. For assistance, our support team is always here to help.
