QuickBooks Integration Popup Warning – Important

Those clients who use our QuickBooks (QBX) integration know that product taxonomies must be mapped to a QBX general ledger account so that the system can properly route transactions. If an item is missing a completed taxonomy or has not been mapped to the general ledger account, the daily QBX post will alert the user and not process. 

 

To help users address this issue we have added two important changes:
1. If a user tries to process a register transaction without a completed taxonomy, they will be alerted of the issue and request that they escalate the matter to store management. The user will not be prevented from completing the transaction, as we know that could interrupt counter transactions and sales.
2. We have added a new popup on the QBX posting page, letting the user know the reason for any related failures to post, citing that the taxonomy must be fixed for a given item. Please note, this does not mean that transactions need to be reprocessed. Simply navigate to manage products, select the item, update the taxonomy and the QBX post will then process.

 
Category Added to Copy Price Formula

Previously, the ‘Copy Price Formula’ feature included an option to select all items in a Category. In actuality, the option allowed for the selection at the sub-category level. The option has been renamed “Sub-category” and we have added a true “Category” level selection. 

 

Added Cell Phone to the Open API CRM

During the last sprint, we added an open API to CRM applications, allowing our users to select and sync contacts with their preferred CRM. That sync included the ‘main phone’, which has been updated to now include the contact’s Cell Phone.

 

Clear Indicators of Live Feed Connectivity

Previously, users had reported what they believed was a functional issue with live connectivity to distributor quantities and prices. We researched the matter and found that in all instances it was driven by lack of proper user credentials as provided by, or changed/reset by the distributor. Thus, we’ve added an indicator in the live price/quantity check that will display the phrase “No Response” (rather than a blank cell or price/quantity of zero).  This is meant to indicate that we have not received a response from the distributor’s API, due to a credentials issues.

Request To turn off QuickBooks Accounts Payable Mapping

We have received a few requests to add a toggle that would allow retailers to turn off the Accounts Payable mapping from Orchid POS to QuickBooks (QBX). Unfortunately, due to double entry bookkeeping requirements, this is not possible. Most, if not all vendor-related transactions such as the purchase of inventory with credit terms (i.e., not paid for immediately with cash) require offsetting entries between Inventory Assets and an Accounts Payable (AP) liability. However, management of your QBX integration with AP is not complex. When exporting your QBX General Ledger (from within QuickBooks), select the option to “include vendors and customers.” Then, when mapping your taxonomy to QBX general ledger accounts, you can also map vendors. This will allow the double entry bookkeeping to properly function. In addition, please note that QuickBooks offers a very low cost, unlimited accounting Q&A service for only $50 per month. Bug Fixes

Surcharge fees were not properly displaying in various reports, leading a few customers to believe there were cash discrepancy issues. This has been resolved.

Coming Soon

Prior to SHOT Show, we anticipate the release of the following new features:

·     Significantly revamped catalogs, catalog sync workflow and catalog sync speed, beginning in the middle of this week. 

·     Addition of an automatic price formula applicating to anything imported or sync’d from the catalog. This feature will also take advantage of the new, ‘true Category-level’ price formula.

·     Enhanced Drop Ship features, a ‘waterfall’ fulfillment and online price listing feature that will allow users to set priorities by preferred vendor or margin optimization.

·     User customizable descriptions for online stock status.

·     Automated Drop Ship orders with vendors and automated replenishment.

·     Enhancements to website speeds, product loading, shop page filter/search selection and checkout design and performance.
